A guide for operators
Bookings thatreach the till.Here’s how.
What a venue on Square should ask of a booking system, in four checks.
- 1Ask for a two-way Square sync, not a one-way read.
- 2Build pre-order menus from your Square catalogue.
- 3Get bookings, pre-orders and deposits onto the till.
- 4Put spend on the guest, and rewards at the till.

Booked, then retyped.
Friday, 19:30. Priya’s table for three pre-ordered online. The till has never heard of her.
Before
Keyed in twice- A pre-order on a printout, keyed into the till by hand
- The deposit in one system, the bill in another
- Her bill on Square with no customer on it
After
On the till · 19:32- £30.00 deposit, already on Square
- A friend at the table is vegan and gluten-free.
- Her pre-order on every Square handheld when seated
- The deposit pushed through to Square with the booking
- Her bill on her profile, her reward off at the till
Four checks.
What to ask any booking system before you connect it to Square.
Two ways, not one
Plenty of tools connect to Square only to read your sales after the fact. Ask what goes back the other way: bookings, guest details and orders should reach the till, not just leave it.
Stampede connects to Square both ways. Orders and payments come in itemised, and bookings, pre-orders, deposits, table orders, rewards and invoices go back to Square.
See which apps really connect to SquareOne menu, from Square
Pre-order and table menus should come from your Square catalogue, modifiers included, so dishes and prices are never typed twice and every order lands on the till as a real line item.
Pre-order menus come from your Square line items, with their modifiers, and a draft menu can be generated from your Square catalogue with modifier groups, photos and prices.

On the till when seated
When the party sits down, the booking, the guest’s details and any pre-order should already be on the till and the handhelds, with the deposit taken online travelling with them. Nobody should key a pre-order in twice.
Seat a booking and it opens on the till, with the guest’s details and pre-order on every Square device. Deposits taken when the guest books are pushed through to Square with the booking.
See Stampede on SquareSpend and rewards
A Square bill says what was spent, not who spent it. Pick a system that puts each paid bill on the guest who ran it up, and lets rewards come off at your own till rather than on a separate screen.
Every paid Square bill lands on the guest’s profile, and points become a Square gift card or a Square-linked discount that comes off the bill at your till.

The terms this guide uses, defined in plain English, and the sources it relies on.
Two-way POS integration
A two-way POS integration is a connection between a point-of-sale system and another platform in which data flows in both directions.
Point of sale (POS)
A point of sale, or POS, is the till system a hospitality business uses to take orders and payments, software on a terminal or tablet with card readers.
Pre-order
A pre-order is food and drink a guest chooses before they arrive, usually when they book or in the days before their visit.
Unified guest profile
A unified guest profile is a single record per guest that combines everything a hospitality business knows about them, from bookings and orders to Wi-Fi logins, reviews and loyalty activity.
