Bookings
Move your bookings over from another booking system
What to set up before the switch, what our team brings across from your old system, and what stays behind.
2 min read · Updated
In short: set up your tables first, then send us an export from your old system. Our team imports the bookings for you, without emailing guests.

Before you send anything
- Go to Bookings › Tables, then choose your venue.
- Add every table, using the same names as your old system where you can. See add and edit tables.
- Add the combinations you seat large parties on. See join tables into combinations.
- Set up your booking types if you use them, so imported bookings can be matched to one.
Imported bookings are matched to your tables by name, so a table that does not exist yet leaves its bookings with nowhere to go.
Send us your export
Importing bookings is done by our team, not from your own account.
Email support at agent@stampede.ai with:
- The export file from your old system, for each venue, with future bookings and any past ones you want kept.
- What any unclear columns or codes mean, especially deposit amounts and whether each was paid.
- The date and time you plan to switch over.
Set up tables, then Send your export, then We import, then Switch over4 stages in order: Set up tables, then Send your export, then We import, then Switch over. The live stage is We import.

What comes across
- Each booking's date, time, party size, guest name, email and phone, tables, area, booking type and notes.
- Allergens, dietary needs, occasions, highchair, wheelchair and buggy requests, and dogs, where your export has them.
- Deposits, as a record of the amount and whether it was paid.
- Bookings already in Stampede for the same guest and time are skipped, not doubled up.
What stays behind
- Money. A deposit paid through your old system stays with that system's payment account, so refund it there.
- Saved cards for cancellation charges, and open enquiries.
- Guests are not emailed or texted, and no reminders are set up for imported bookings.
On switch-over day
- Agree a time with our team, then stop taking bookings on your old system at that time.
- Ask your old provider to take down their Reserve with Google button, then check yours. See Google bookings.
- Change the Book buttons on your website and social pages to your Stampede link. See add a Book button.
Check it worked
Open the Day Planner on a busy upcoming date. The imported bookings sit on their tables.
Good to know
- A booking that lands without a table usually means a table name did not match. Tell us and we can fix it.
- Guests keep any confirmation they got from your old system. Nothing new is sent.
- To bring loyalty members across, see import loyalty members.
