Booking statuses, and why Seated matters with Square

Statuses track a table from booked to paid. Marking Seated is what moves a deposit onto the Square bill.

In short: change a status from the booking on the Day Planner. With Square, mark guests Seated so the deposit reaches their bill.

Change a status

  1. Go to Bookings › Day Planner, then choose your venue.
  2. Open the booking.
  3. Click the quick button next to Edit: Seat Guest when they arrive, then Complete. Or pick from the Status list.

A provisional hold shows Confirm Booking first.

Why Seated matters with Square

Seated tells Square to apply the deposit to the bill. A booking that goes straight to complete without being seated leaves the deposit behind.

Tidy up after service

  1. In the Day Planner header, open More options and click Complete past bookings.
  2. Click the count button, such as Complete 12 bookings. Running, cancelled and no-show bookings are left alone.

Good to know

  • If a seated booking's deposit missed the bill, use Push to Square in its Deposits section. It only shows while seated and paid. See deposit not taken off the Square bill.
  • Complete past bookings does not mark bookings as seated.
  • Show Cancelled in More options brings cancelled bookings back onto the Day Planner.
  • For a guest who did not turn up, see mark a booking as a no-show.
