One menu, several venues, one payment

One menu, several venues, one payment (light cover)

Summary

One menu across several venues and Square accounts, upgrades paid at the door, and place cards printed straight from a booking's pre-orders.

Note
Shipped this fortnight
Multi-account ordering went live on 8 September 2026: one menu across several venues and Square accounts, one basket, one payment. Two bookings features from 11 August are covered too, both previously unannounced: upgrades paid at the venue instead of prepaid online, and place cards printed from a booking's pre-orders.

One menu can now sit across several venues and Square accounts, guests pay once, and you choose which venue takes the money.

One menu across several venues

A guest at a shared table in a food hall orders noodles from one kitchen, a pint from the bar and a coffee from the kiosk, all from one menu on their phone. Open the menu editor under Ordering, Menus, and a menu can now be live at several venues at once, and those venues can sit in different Square accounts. The guest sees one menu, builds one basket and pays once. Each venue's items still come from its own Square catalogue, and the guest never sees which venue or which account an item belongs to.

The part that needs a decision is the money. A Square payment settles to one seller account at one location, so a menu that spans venues names one venue as the collector. You pick it once, on the menu's Venues tab, under Money goes to. Every order from that menu is charged at that venue's Square location, the takings land in that venue's bank account, and the other venues' parts of the order are marked paid for fulfilment. The collecting venue does not have to serve anything: a head-office account can take the money for a food hall and let the kitchens fulfil. Leave it unset and the money follows the venue that makes the food, which is the right setting for a menu that lives at one venue.

One honest limit: a cross-venue menu with no collector cannot be paid, and the menu editor says so until you choose. The first time you open a menu across accounts you will be stopped at the Venues tab, and that is deliberate, because an uncollected basket is a worse problem to find on a Friday night than a decision asked for once on a Tuesday.

Upgrades paid at the door

Shipped 11 August and not covered by the August round-up: booking upgrades no longer have to be prepaid. You can offer the extras a table might add, a cake, a bottle of wine, and let the guest settle them at the venue instead of paying online. You choose, per upgrade, whether it is paid upfront or added to the final bill, and you can add terms the guest acknowledges at checkout. Before this, every upgrade demanded immediate card payment, and a booking without one was rejected outright. A guest who was happy to settle the prosecco on the night had nowhere to put it.

Place cards from pre-orders

Also 11 August: place cards print straight from a booking's pre-orders, with names, dishes and dietary needs already on them, or run off blank ones in seconds by typing a number. The cards are sized to the card geometry, so they print right the first time. This replaces the hand-built Word document with misaligned margins and fold lines that somebody was always rebuilding the evening before a wedding.

What to do on the screen

  • If you run more than one venue on Square, open the menu editor under Ordering, Menus, open a menu, and set Money goes to on the Venues tab. A menu spanning venues in different Square accounts cannot be paid until you do.

  • To let guests settle extras at the door, set the upgrade to be paid at the venue instead of prepaid on the booking.

  • For the next function, open a booking with pre-orders and choose Print place cards.
